? Be the first to be called if a guest is looking for a manager. The Operations Manager must ensure that he use tact and diplomacy to quickly rectify the situation, reaching the guest satisfaction but as well respecting the procedures and organization of Back Home Backpackers Hostel
? To be in permanent contact with the General Manager to report any guest comment, or problem and to ensure a good co-ordination and quick communication on both sides
? To maintain an accurate record of items and incidents which may be of concern or may require further attentions
2. Lobby Co-ordination
? The first assignment and main area of work of the Operations Manager is the Lobby (when they are not away to do a specific mission) and they will spend all their time in the lobby to co-ordinate overall lobby activities and be dynamic in guest relationships
? Always patrol and keep good environment in the lobby
? Approach guests to offer any assistance
3. Leader of the Communication
? To join daily briefings with staff each shift and weekly catch up with the General Manager
? Supervise detailed activities and if problems are found must delegate responsibilities to the team on action of follow up and feedback
? To be very active giving full information and updates to all staff. This will encourage a good interactivity with the team, to listen and understand their questions and problems and to give appropriate answers and solutions
4. Supervision and Controls
? To ensure the overall co-ordination of the hostel operations and to assist all sections
? Responsible to keep all hostel standards and procedures in line with the Back Home Backpackers policies
? To ensure the proper follow up of room requests and co-ordinate with housekeeping
? To ensure that all financial and audit procedures are respected.
? To ensure that the day close-off is done correctly and that the number of "No Show", "Rooms Occupied" and ?Out of Order? are accurate; and accordingly take control of allotment in ?MyAllocator?
? To go through the booking of all the arrivals to ensure that the conditions and rates confirmed upon reservations are clearly updated and followed up
? To ensure that the immigration registration is done fully as per procedures established
? To motivate all the staff regarding selling and upselling
? To ensure that all areas are clear, clean and tidy at all times
? To implement staff monthly training
5. Responsibility in terms of security and fire
? To act immediately on any safety circumstance in the hostel, follow the security procedures and record any of this action in an incident report
? In the event of fire, one has to ensure the overall co-ordination as per established emergency procedures. In the absence of the General Manager, the Operations Manager will call right away the appropriate persons; will ensure that each staff takes control of his/her duties during fire and that the guests are well informed of the security protocol to be taken.
? To be on alert when a guest has a suspect attitude or when there is a serious conflict or beginning of fight in the premises of the hostel. Any of these cases has to be reported in an incident report.
6. Responsibility in terms of HUMAN RESOURCES
? Ensure all staff on duty are at all times groomed and wear correct and complete company uniform
? To manage and approve staff roster. To foresee hostel occupancy situations in order to manage the roster and approve leaves without shortage of manpower
? To ensure all staff are present at scheduled times in the appropriate sections
? To ensure full motivation of the team and create a nice atmosphere of work.
? Responsible for assisting and reporting to the General Manager in the overall day to day operations of Back Home Backpackers Hostel.
? To lead by example in terms of appearance, attitude, equity and professionalism.
? To ensure the proper work of the operations in the Lobby, Bar, Tour Desk, Rooms and Back of House.
? To extend responsibility to the entire hostel operations in the absence of the General Manager and Administration Manager.
? To audit the receptionist cash float weekly.
? To manage team rosters including forecasting hostel occupancy in order to manage and approve leave of employees.
? To do floor patrols each and every day and be aware of safety environment
? Be responsible for assisting and reporting to the General Manager
? Take notes of important Project details, list action items and corresponding timelines to track the progress
? Maintain internal databases
? Manage and order any supplies or equipment requested by the team members and ensure there is no shortage of supplies for the organization.
? Be familiar with office software (e.g., Word, Excel)
? Handle basic office tasks
? Submit daily budget reports
? Providing basic bookkeeping services
? Maintain employee leave records
? Ensure all staff are present at scheduled times in the appropriate sections
? Distribute incoming and outgoing mail
? Prepare regular printing work, signage, display or poster as needed
? Handle queries from Managers and Employees
? Update office policies and ensure compliance with them
? Maintain, repair or replace office equipment.
? Direct, review and optimize office operations to increase accuracy, productivity and efficiency and reduce costs.
